How to record a loan and track payments in LoanFlow

A step-by-step walkthrough for South African lenders — from adding the borrower to seeing every payment reflected in your balances, ledger and available capital.

  1. 01

    Start with the borrower

Every loan in LoanFlow begins with a borrower. Capture each person once — name, ID or passport number, WhatsApp number and any notes you want to keep.

From that moment, the borrower's profile becomes the home for their full history: every loan, every payment and every balance in one place, and you can update their details at any time without touching their financial record.

  2. 02

    Issue the loan

When you issue a loan, you enter the loan amount together with your own profit and commission structure. LoanFlow does the arithmetic for you: it calculates the total due, tracks the outstanding balance and keeps your capital position up to date automatically.

That means you always know what is out, what is due and what remains of the money you have available to lend — without reconciling a spreadsheet.

  3. 03

    Record the payment

When a borrower pays, record the payment against their loan in seconds — full or partial. Balances, profit earned and your available capital update immediately.

Each payment is also written to your ledger, giving you a complete, auditable record of every rand that moved through your business.

  4. 04

    Stay ahead of arrears

LoanFlow flags overdue accounts automatically, so late loans surface instead of slipping through. Automated WhatsApp payment reminders go out on your schedule using approved professional templates, and you can send a personal message at any time.

Arrears Ageing shows which loans have been outstanding the longest, so you know where to focus your follow-ups first.

  5. 05

    Check your records any time

Everything you have recorded stays available: a ledger you can audit at any time, borrower statements, and arrears and reconciliation reports you can export as branded PDF or Excel files for your records, your partners or your bookkeeper.

Your lending records are private to your account and never disappear — even if your subscription lapses.
